LinkedKey Privacy Policy

Last updated: October 28, 2026

1. Introduction

LinkedKey ("we", "us", "our") operates education services for students in the Greater Toronto Area, Ontario, Canada, through our website and the LinkedKey parent mobile app (collectively, the "Services"). This Privacy Policy explains what personal information we collect, how we use it, and the choices you have. By using the Services, you agree to the practices described here.

2. Information We Collect

(a) Account information: When a parent or guardian creates an account, we collect your name, email address, phone number, and account credentials.

(b) Student information: Parents and guardians provide information about their children to enrol them in classes, including the student's name, school, grade, and year/month of birth, as well as course registrations, schedules, attendance, homework, grades and results, and related academic records.

(c) Payment information: Payments for tuition and other fees are made through our website using our third-party payment gateway, Elavon Canada. Card details are provided directly to the payment gateway and are not stored on our servers. We retain transaction records such as amounts, dates, and payment method type for accounting purposes. The LinkedKey parent mobile app does not process payments.

(d) Communications: Messages you send through the Services (for example, messages to the school, absence requests, and feedback) and your notification preferences.

(e) Technical information: To operate the app and deliver notifications, we collect limited technical information such as device push-notification tokens, app version, and log data used for security and troubleshooting.

(f) Website cookies: Our website uses cookies and similar technologies to keep you signed in, remember your language preference, and protect the security of your account.

We do not collect precise location data, and we do not sell personal information.

3. How We Use Information

  • Provide and manage classes, registrations, schedules, and payments;
  • Communicate with you about classes, schedules, reminders, and school updates;
  • Operate, secure, and improve the Services;
  • Comply with legal and accounting obligations.

4. Children's Privacy

Our Services are intended for parents and guardians. Children's information is provided by a parent or guardian solely to deliver educational services. We do not knowingly collect personal information directly from children. Parents and guardians may review, correct, or request deletion of their children's information by contacting us (see Section 10).

5. How We Share Information

We share personal information only as follows:

  • Service providers: trusted providers who help operate the Services, including Elavon Canada (payment processing on our website), Expo (push notifications), and our cloud hosting providers, each bound to use the information only to provide their services to us;
  • Legal requirements: when required by law or lawful authority, or to protect the safety and rights of our users and the public;
  • Business transfers: if LinkedKey is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to this Policy.

We do not sell personal information to third parties and do not use it for third-party advertising.

6. Data Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Data Retention

We retain personal information for as long as your account is active or as needed to provide the Services, and afterwards only as required for accounting, legal, or legitimate business purposes. When information is no longer needed, it is deleted or anonymized.

8. Your Rights

Under Canadian privacy law (including PIPEDA), you may request access to, correction of, or deletion of your personal information, and you may withdraw consent to our use of it, subject to legal and contractual limits. To exercise these rights, contact us (see Section 10). If your concern is not resolved, you may contact the Office of the Privacy Commissioner of Canada (https://www.priv.gc.ca).

9. Account Deletion

You may request deletion of your account and associated information by contacting us (see Section 10). Deletion is subject to our legal and accounting retention obligations (for example, financial transaction records).

10. Contact Us
